Open and close the email formally.

  • Dear Sir or Madam,
  • Yours faithfully,

Give a reason for writing.

  • I am writing to complain about the service provided by your company.

Say what you bought and when.

  • I bought some headphones (Model: SA-DIV-RED) from your website on 3rd March and paid for them online.

Explain the problem giving details.

  • They arrived the next day, but when I tried them, they did not work, so I returned them to you on 5th March and you exchanged them for a new pair. Unfortunately, the second pair you sent were the wrong model...

Tell the reader what you expect him / her to do.

  • I would be grateful if you could send me a full refund for the headphones and the cost of sending them back to you three times.

Use formal language with no contractions.

  • I do not want another pair of headphones.
